Who this covers
Countershelf is back-of-house software for stores that sell food and goods under one roof: inventory counts, expiration dates, invoices, ordering and sales reports. This policy covers the Countershelf website and the Countershelf phone app. Accounts are set up by a store's owner for the people who work there; nobody can sign up for Countershelf from the app.
What we keep
- Your account: your name, username or email address, your role (owner, manager or staff), which stores you work at, and what your account is allowed to do.
- Your store's records: items, stock counts, expiration dates, invoices and receipts you scan, vendors, orders, recipes and promotions, with who made each change and when.
- Sales from your point of sale: when a store connects Square, we read its catalog, sales, locations and team members, and we send back the changes you ask for (stock counts, item names and categories, new items and discounts).
- Photos you take: shelf photos when a count needs a second look, and pictures of invoices, receipts and recipes you scan. They're stored privately and only shown to the people at your store who are allowed to see them.
- Basic technical records: the server logs requests (time, address, what was asked for) so we can keep the service working and secure.
The camera
The app uses your phone's camera only while you're scanning a barcode or taking a shelf photo. Barcode scanning happens on the phone; only the code is sent. Nothing is recorded in the background.
What we don’t do
- We don't sell your information or your store's data, and we don't share it for advertising.
- There are no ads in Countershelf, and no ad or tracking tools in the app.
- We don't collect your location, contacts, or anything else on your phone outside Countershelf.
Who helps us run Countershelf
These companies process data for us, only to provide the service:
- Supabase: our database, sign-in and photo storage.
- Railway: hosts the Countershelf server.
- Vercel: hosts the Countershelf website.
- Square: your point of sale, when your store connects it.
- Anthropic: reads invoices, receipts and recipes you scan, suggests categories, and answers questions in the Countershelf assistant. Under its business terms it doesn't use this data to train its models.
- Resend: sends the alert emails your store turns on.
How long we keep it
Store records are kept while the store uses Countershelf, because counts, waste and sales history are what the reports are built from. When an account is deleted, the login is removed; the store's records that person made (for example a count) stay with the store, under their name, as part of the store's history. When a store stops using Countershelf, its owner can ask us to delete the store's data.
Deleting your account
In the app, go to Account and tap “Request account deletion”, or ask your store's owner, who can remove your account in Countershelf under Settings, Staff accounts. You can also email unni.elcentro@gmail.com.
Keeping it safe
Everything travels encrypted. Each store only sees its own data, and each account only sees the stores and screens its owner allowed. Photos are private and opened through short-lived links.
Children
Countershelf is a work tool for businesses and isn't meant for children under 13.
